Q:  How do I request use of the Controy Pavilion for an event that I am planning?

A:  The Controy Pavilion, located in Burbank Park, is used for many events from June 1st through September 15th including Live on the Lake every Wednesday evening from the first week in July through the end of August and the Berkshire County Central Relay for Life event annually at the end of June.  The Pavilion is also used for many other events such as family reunions/birthday and small graduation parties, fund raisers, business parties and fishing derbies.

All rental inquiries should be directed to: Mike Dean (413) 499-9476 Monday through Friday between 8:00 AM and 3:00 PM.  The users of the facilities will be required to submit all of the forms in Controy Pavilion Rental Packet to the office of the Building Maintenance Department within one week of your confirmed reservation not the date of the event.  All the Rental Fees and Deposits must be submitted with your forms.  Otherwise, the date reserved will be canceled and opened to the public.  Please refer to the Controy Pavilion Rental section of the Building Maintenance Department’s webpages for more information.

Q:  How do I request use of one of the City’s parks, playgrounds or conservation areas for an event that I am planning?

A:  The City has many parks, playgrounds and conservation areas available to host your event.  For a detailed directory of these areas and a convenient map, please refer to the City’s Park Brochure.  There may be a fee associated with rental of any of our park fields.  All other athletic outdoor facility (parks) inquiries should be directed to our Parks & Recreation Department at (413) 499-9370.  Please refer to the Park Use section of the Building Maintenance Department’s webpages for more information.

Q:  How do I request use of one of the City’s public schools for an event I am planning?

A:  Auditoriums, cafeterias, gymnasiums and classrooms are available for after-hours and weekend use by both profit and non-profit organizations.  There is generally no charge assessed for the use of these facilities to supervised youth groups or civic organizations except for weekends or special events.  All others will be charged a nominal rental fee (City Code Chapter 24 (Schedule of Fees), Sec 24-1) which will consist of the room user fee or the custodial hourly fee or both depending on the type of event at the school's discretion.

In addition to the rental fees, there may be additional charges for the services of City personnel that may be required.  The Building & Grounds Maintenance Department along with the School Department will determine if the services of a fireman, police officer, electrician, sound person, light person, cafeteria worker or custodian are required.  The services of such personnel are to be paid at the rate of 1 ½ times their normal rate with a minimum of three hours pay and double time on Sunday.  The users of the facilities will be required to submit all of the forms in School Rental Packet to the office of the Building Maintenance Department once your reservations are confirmed.  All rental inquiries should be directed to: Mike Dean (413) 499-9476 Monday through Friday between 8:00 AM and 3:00 PM.  Please refer to the Pittsfield Public Schools Rental section of the Building Maintenance Department’s webpages for more information.

Q:  How do I request use of Wahconah Park for an event that I am planning?

A:  The park is available for use by organizations or groups when the facility is not being used for baseball in the spring and summer or football in the fall.  In addition to rental fees, there may be additional charges for the services of City personnel that may be required.  The Building & Grounds Maintenance Department will determine if the services of a fireman, police officer, electrician, sound person, light person, or custodian are required.  The services of such personnel, if required, are to be paid at the rate of 1 ½ times their normal rate with a minimum of three hours pay and double time on Sunday.  The users of the facilities will be required to submit all of the forms in Wahconah Park Rental Packet to the office of the Director of Building Maintenance prior to reservations being made for such use.  Prior Park Commission approval is required to use this facility.  Pittsfield has developed a Special Event Checklist and Application Packet to help you plan out the logistics of your event.   Event sponsors are responsible for obtaining all proper licenses and permits, and abiding by the rules listed on said licenses.  Please refer to the Wahconah Park Rental section of the Building Maintenance Department’s webpages for more information.
